Exhibitor information


Please note that placement is usually limited so we do advise to book early.

To be eligible to hold a stall at the Vegan Expo, you must fit one of the following criteria:

a) You operate a food business that offers only vegan food

b) You operate a business that regularly caters for vegans (e.g.: food stuffs, drinks, retail products or health care products)

c) You own and operate an entirely vegan business

d) You are part of a not-for-profit groups with vegan principles

e) You are part of a vegan venture, community group or special project.

Stallholder guidelines


PACK IN AND OUT
Pack in is scheduled for the afternoon of Saturday, 6 November, between 3pm and 6pm. We would prefer that stallholders pack in on Saturday afternoon, but if not possible please contact us, and pack in before 9am on Sunday, 7 November.

Pack out will begin at the conclusion of the Expo, and not before.

Outside food caravans/trucks are able to pack in between 3pm and 6pm on Saturday, 6 November, and before 9am on Sunday, 7 November.

A map of the site will be provided closer to the time, as will directions for unloading and loading.

You will be guided to your allocated space when you arrive for pack-in.

The Expo will be officially opened at 10am, Sunday 7 November

 

STALLHOLDER EQUIPMENT

We will supply:

1) One 2m x 2m space
2) One 1.8 metre long trestle table
3) 2 x chairs
4) Power lead/s if required

You will need to supply:

1) One tablecloth that covers a 1.8 metre long trestle table, and covers the table to the floor on the front, and preferably to the sides.

2) Your own signage. Please attach your signage to the front of the trestle table, or place it freestanding at the front, or behind your table. Signs can be attached to the display boards which will be behind your stall space. Please bring drawing pins if you plan to place signs on the display boards.

 

FOOD HEALTH AND SAFETY REGULATIONS
Stallholders selling food must be registered with Environmental Health, and a copy of their food certificate on display at their stall on the day.

Food can be kept hot at your stall space with any type of warming device, but due to very sensitive smoke alarms, cooking is prohibited in the hall. However there is a commercial kitchen off the hall that you can use for cooking, but you will need to share it with other stallholders.

If you are running a food stall please bring all the equipment you require to prepare, cook and serve to the public. If you are wanting to wash dishes throughout, or at the end of, the day please bring all your own dishwashing liquid, tea towels and dish brushes to use in the kitchen. There is no equipment in the kitchen.

All stallholders cooking food must bring a fire extinguisher.  Food trucks need either a fire extinguisher or a fire blanket. Cooking is not allowed indoors. Food trucks should have a current electrical WOF and a First Aid kit.

PLATES AND CUTLERY
All plates and cutlery used to serve visitors at the Expo must be eco-friendly. Please encourage your customers to bring their own reusable cups and containers as this will help reduce the amount of waste at the end of the day.

RUBBISH
There will be general rubbish and recycling bins available for public use, but please bring your own recycling, rubbish, and food scrap bins, and take all your stall rubbish with you when you leave.

ELECTRICAL EQUIPMENT
All electrical equipment must have a current electrical test tag. Any qualified electrician can do these tests. Caravans also need a current electrical warrant of fitness. An electrician will be available on the day to test and tag electrical equipment. Appropriate cost for a tag will be charged per piece of equipment, if you require our help.

CANCELLATION OF SITE
Refunds will be at the discretion of the organisers.

KEEPING WITH THE VEGAN ETHOS OF THE EVENT
Please be aware that the Whangarei Vegan Expo will present veganism as a lifestyle free of animal products or by-products, and that 100% of your contribution to this event needs to reflect these values. Thank you. We look forward to your participation.
